General Policies:
- All Oxford Outdoor Recreation programs are free for current Oxford students, faculty, and staff (hereinafter referred to as "Participant").
- Participants are solely responsible for costs arising out of any bodily injury or property damage sustained during their voluntary participation in an Oxford Outdoor Recreation program. All program descriptions are available on the Oxford Outdoor Recreation website and the associated risks are outlined in the Release document that must be signed by all Participants. Emory does not carry health insurance for Participants. Participants are responsible for disclosing any/all medical/health issues to Oxford Outdoor Recreation staff on the Kuali Registration Form. Participants will be required to carry and administer all necessary personal medication while involved in Oxford Outdoor Recreation programs.
- If a Participant has a disability that may require accommodation, the Participant should directly contact the Assistant Director, Campus Recreation, at least three weeks before the program date for evaluation.
- In order to remain in good standing at any Oxford Outdoor Recreation facility or in any Oxford Outdoor Recreation program, Participants must follow all policies and guidelines during participation. Oxford students will be held accountable for behavior that violates Emory's Code of Conduct.
Trips:
- Pre-trip meetings: unless otherwise stated, all trips have a mandatory pre-trip meeting in the week prior to trip departure. The pre-trip meeting will cover arrival/departure time, meeting location(s), prerequisite skills, necessary equipment, expedition behavior, meals, and lodging assignments (if applicable). For safety concerns, Oxford Outdoor Recreation reserves the right to remove a Participant from the trip roster without refund if the Participant misses the mandatory pre-trip meeting and fails to contact the Assistant Director, Campus Recreation to receive the missed information prior to trip departure.
- Participants will not bring, buy, sell, use, or consume alcohol, illegal drugs, or recreational drugs while participating in any Oxford Outdoor Recreation trip. Emory (and Oxford Outdoor Recreation) has a tobacco free policy that prohibits the use and sale of tobacco at any Emory-sponsored event and in personal vehicles while on Emory property. Oxford Outdoor Recreation strongly prohibits tobacco use while on Emory-sponsored trips.
- If a Participant voluntarily leaves the group or fails to follow Emory and/or Oxford Outdoor Recreation policies and must be separated from the group, that Participant bears the responsibility for arranging and paying for return transportation. Emory is no longer responsible for that Participant.
- Trip itineraries are subject to change without notice based on the group’s ability, weather conditions, and/or safety concerns. Oxford Outdoor Recreation reserves the right to make changes to the trip itinerary for any of the aforementioned reasons.
No-Show/Cancellation Policy:
- A “3 strikes, you’re out” policy will be enforced for all trips. If a Participant no-shows on the day of departure or cancels less than five (5) days before the departure date of a trip for a total of three (3) times, that Participant will no longer be permitted to register for trips. Trips tend to have a long waitlist and we want to make sure spots are available to those who will show up to participate. A reminder of this policy will be sent to anyone who has accumulated two (2) total late cancellations and/or no-shows.
- Participants who are no-shows on the day of departure will also be subject to a $25 charge added to their student account.
